What Drove the Engagement

Challenge

The client’s rapid growth across 130+ practices in 17 states created increasing operational complexity. Eight disparate DPMS platforms contributed to inconsistent scheduling, clinical and front-office workflows, revenue cycle processes and training across locations. As the organization prepared for a large-scale system conversion, it needed to address these inconsistencies while minimizing the risk of disruption to production, revenue and patient access.

Solutions

ProspHire developed and executed a structured conversion and optimization approach designed to protect day-to-day operations while creating greater consistency across the organization. The team introduced production-driven scheduling templates, aligned clinical, front-office and revenue cycle workflows and provided embedded, onsite support during go-live to resolve issues in real time.

To support adoption at scale, ProspHire also implemented a repeatable, role-based training model, delivering 90+ in-person and 200+ virtual training sessions across the organization. This approach helped practices transition to the new platform while maintaining full schedules and establishing more standardized ways of working.

Impact

The conversion delivered measurable operational improvement without sacrificing performance. Practices achieved a 25% increase in schedule utilization while maintaining fully booked schedules and uninterrupted patient care throughout the transition. The engagement also established more consistent workflows and a scalable operating model to support the organization’s continued growth across 17 states.
